LEVERAGING ELECTRONIC RECORDS KEEPING TO ENHANCE EFFECTIVE LIBRARY SERVICES IN NATIONAL HORTICULTURAL RESEARCH INSTITUTE, IBADAN

This study examines how the adoption of electronic records management can enhance the efficiency and effectiveness of library services at the National Horticultural Research Institute (NIHORT), Ibadan. Traditionally, the library’s record-keeping system has relied heavily on manual processes such as cataloguing, classification, and the maintenance of accession and loan registers. These methods are often time-consuming, error-prone, and limit quick access to information resources. The study employed a descriptive research design, using total enumeration of thirty (30) respondents comprising nine (9) library staff and twenty-one (21) regular library users. Data were collected through an electronic questionnaire administered via Google Forms and analyzed descriptively. Findings revealed that while 50% of respondents currently use electronic means for records storage, the other half still rely on manual systems. Key challenges identified include poor internet connectivity (53.3%) and risk of data loss (46.7%). Respondents strongly advocated for digitalization of records (83.3%) and continuous staff training (70%) as measures to improve the system. The study concludes that transitioning to an electronic records management system will significantly improve service delivery, ensure timely access to information, strengthen accountability, and preserve institutional memory. It recommends the development of a comprehensive records management policy, provision of adequate infrastructure, and sustained capacity building for staff. Aligning NIHORT Library’s practices with global standards will enhance operational efficiency, knowledge preservation, and user satisfaction, thereby reinforcing its role as an effective information hub for agricultural research and development.
